One of the key tasks to complete before you can go live with Fixflo, is importing all of your data into your new account!
This will require you to export the information from either the Property Management system that you use or a CRM/database where you store these details. You may also have this information in spreadsheet form already!
We require the following data in order to complete a full import:
- Properties
- Landlord details
- Contractor details
- Occupier mobile contact details (for more information on this click here).
Please find two templates at the bottom of this article for importing your data. Within each, please note:
- Yellow columns = Mandatory information that we need. If your Contractor or Landlord does not have a company name, first and last names are fine.
- Grey columns = Optional information.
It is also possible to create your own import templates within Fixflo. This will be covered further down in this guide.
If your team manage specific property or landlord portfolios (either as individuals or as teams) you can add these details to the spreadsheet under 'Assigned Agent' or 'Assigned Team'. More information on this can be found here.
Please note: When an occupier reports an issue, a profile is automatically created for them in Fixflo if they don't already have one.
Occupier profiles automatically get periodic email reminders to use Fixflo. For more information on this, please click here.Sending us data
Due to GDPR, we have implemented a secure way of sending us your import files to ensure that your data is safe at all times!
When your data is ready to be imported, please log in to Fixflo and navigate to Setup > Imports:

Then click on Import new data > Choose file:

You will then need to change the file type to 'All Files':

Select the file you wish and then press Upload:

This will allow us to access your data, and we can then make sure it is imported correctly for you. Please do this for each file you have.
Creating your own templates:
To create your own data import templates in Fixflo, please navigate to Setup > Imports > Create template:

From here, you can select the data you would like to upload into Fixflo and then click Download template.
A CSV file will then be downloaded and include columns for each piece of data you can add into Fixflo for the options you selected.
We recommend working from the templates provided below when you can though, to help prevent errors.
