Sometimes automated Fixflo emails fail to deliver to an email address, instead being 'bounced' or 'rejected'. Fixflo receives an automatic response from the recipients email system (e.g. Hotmail) - known as a Non-Delivery Report (NDR).

What sort of emails get sent?

  • New issue notifications (to Agents)
  • Comment notifications (to whoever gets sent an issue comment)
  • Requests for a contractor to undertake work (to contractors when you instruct work to them)
  • Etc.

Who receives automated emails?

For Fixflo Basic system emails are sent to:

  • the central reporting email address and any CC'd addresses for your agency
  • individual agents if you have postcode allocation set up

For Fixflo Professional system emails are sent to:

  • the central reporting email address and any CC'd addresses for your agency
  • individual agents if you have postcode allocation set up
  • contractors
  • landlords
  • occupiers
  • external users

What happens when an email fails?

In order to make sure that all system emails are being read by all relevant parties, Fixflo will send a notification to your company alerting you to any non-delivery reports.

For example, if one of your contractors email addresses is spelt incorrectly in Fixflo and you request a quote from them, this will not be delivered and will result in a non-delivery report.

It is important for us to let you know when an NDR occurs so that you can contact the person who has not received system alerts from Fixflo, and make sure they are made aware of the issue, so it can be resolved.

Common causes:

  • The Fixflo domain has not been added to your 'allow lists'
  • Misspelling of email addresses in Fixflo
  • The user has exceeded their mailbox limit
  • Intermittent technical issues
  • The email address does not exist anymore

Common solutions:

  • Check the email address is entered correctly in your Fixflo system (no spelling mistakes)
  • Get the user who has received a non-delivery report, to check their email account for any issues
  • Ensure the user has allow-listed the Fixflo domain. You can send your external users such as contractors and landlords instructions on how to do this here.
